POSITION AND PURPOSE
| Under the direction of EPMO Leadership, the Sr. Portfolio Analyst (SPfA) supports the advancement of portfolio management maturity through administration and ownership of the Strategic Portfolio Management (SPM) module in ServiceNow, delivery reporting, and operational process improvement. This role collaborates with EPMO leaders, project professionals, and business stakeholders to improve visibility, strengthen data integrity, and evolve the portfolio delivery lifecycle. The SPfA plays a key role in enabling strategic decision-making through portfolio-level insights, continuous improvement, and governance support. The SPfA performs work on high-impact departmental initiatives and enterprise portfolios with moderate to high complexity, requiring autonomy and cross-functional coordination. The role ensures consistency with credit union strategy, commitments, and goals. This role requires solid communication skills and an ability to build and maintain working relationships with team members, vendors, and other departments involved. |

• | Strategic Portfolio Management (SPM) System Administration & Support - Serve as the EPMO subject matter expert and system administrator for the ServiceNow SPM module, supporting enterprise portfolio planning, execution, and delivery.
- Administer and enhance SPM modules, support testing of SPM features, functionality, and enhancements in support of the department.
- Lead or participate in system upgrade and integration projects, ensuring alignment with organizational objectives and minimal disruption to ongoing portfolio management activities. Test and implement updates, releases, and new capabilities to align with EPMO framework and governance evolution.
- Monitor system performance, proactively identify issues, and coordinate with IT ServiceNow support teams to resolve technical challenges or outages.
- Develop and maintain documentation and training materials for ServiceNow SPM processes, ensuring knowledge transfer and consistency across EPMO teams.
- Ensure data integrity, identifying and resolving gaps in records, governance compliance, and optimal usage of SPM capabilities to advance EPMO maturity and value delivery.
- Manage and maintain dashboards, workspaces, and views that drive portfolio and delivery visibility.
- Configure and maintain interactive dashboard reporting capabilities in SPM to deliver real-time insights to project professionals, leadership, and stakeholders.
- Train and support EPMO professionals in the use of SPM tools, dashboards, and reports to increase adoption and capability maturity.
- Drive continuous improvement of dashboard analytics, integrating multiple data sources and visualizing trends to support executive reporting and portfolio governance.
- Facilitate user feedback sessions to gather enhancement requests and pain points, translating business needs into system improvements or customizations.
- Maintain user access controls and permissions within the SPM module, ensuring appropriate security and compliance with organizational policies.
- Conduct periodic audits of SPM data and workflows to verify accuracy, completeness, and adherence to governance standards.
- Champion adoption of SPM best practices by organizing workshops, webinars, or knowledge-sharing sessions for EPMO and business stakeholders.
- Stay current with ServiceNow SPM product updates, industry trends, and emerging technologies, recommending opportunities for innovation and process optimization within the EPMO.
| • | Reporting, Analytics, & Data Visualization - Advance Data Integrity and Performance Measurement by overseeing the validation and reconciliation of project and portfolio data within ServiceNow SPM, proactively identifying discrepancies, and ensuring timely resolution to maintain data quality standards.
- Design and Evolve Dashboard Solutions by architecting and continuously enhance interactive dashboards and reporting suites, leveraging advanced visualization techniques to deliver actionable insights tailored for various stakeholder audiences to communicate project and portfolio health.
- Comprehensive KPI Monitoring by establishing and managing robust tracking mechanisms for key performance indicators, including financials, schedules, risks, resource utilization, and benefits realization, enabling trend analysis and predictive forecasting across portfolio financials, schedules, risks, and benefits realization.
- Executive-Focused Reporting Cadence: Partner with EPMO leadership to co-create and refine executive-level metric packages, setting regular reporting intervals and customizing visualizations to align with strategic priorities.
- Data Integration and Visualization: Aggregate and harmonize data from multiple organizational systems (e.g., financial, resource management, risk registers) to produce holistic views that bolster governance and informed decision-making.
- Stakeholder-Centric Communication: Translate complex technical datasets into intuitive, visually compelling dashboards and reports for non-technical stakeholders, including senior leadership and board members.
- Industry Research and Best Practice Adoption: Conduct ongoing research into emerging project management methodologies, data analytics trends, and industry standards, recommending and implementing improvements to EPMO reporting practices.
- User Training and Support: Lead training sessions and develop support materials to increase EPMO staff proficiency in using reporting tools and analytics dashboards, fostering a data-driven culture across the organization.
- Continuous Improvement of Analytics Capabilities: Regularly solicit user feedback, analyze pain points, and implement enhancements to dashboard features and reporting workflows, ensuring alignment with evolving business needs.
- Governance and Compliance Reporting: Collaborate with governance and compliance teams to ensure reporting outputs support audit readiness and regulatory requirements, facilitating periodic reviews and documentation updates.
| • | Governance, Compliance and Portfolio Operations Support - Collaborate closely with EPMO leadership and Planning, Governance, and Administration team to ensure rigorous adherence to governance processes, while proactively supporting effective project and portfolio delivery. (e.g., Intake, Committees, Phase Gate Reviews)
- Maintain and manage governance calendars, templates, and essential inputs such as status reports and key metrics, ensuring that all deliverables are consistently timely, accurate, and aligned with organizational standards.
- Model the standardization and continuous enhancement of project and portfolio management practices to ensure alignment with the EPMO framework, fostering consistency and operational excellence across programs.
- Conduct comprehensive governance reviews to validate adherence to EPMO framework controls and SPM (Strategic Portfolio Management) data quality standards, identifying gaps and recommending corrective actions as needed.
- Develop, analyze, and report governance and adoption metrics to EPMO leadership, highlighting emerging trends, compliance issues, and areas requiring reinforcement to support informed decision-making and process improvements.
- Serve as a point of contact for audit or oversight activities related to portfolio governance and delivery standards, ensuring documentation readiness and supporting regulatory and compliance requirements.
- May support Request for Proposal (RFP) activities including identifying business needs and product/service expectations and assisting in analyzing and comparing vendor responses.
- Maintain a thorough understanding of state and federal laws and regulations related to credit union compliance including bank secrecy and anti-money laundering laws appropriate to the position.

KNOWLEDGE/SKILLS: | • | Strong working knowledge of innovative approaches, project management, project portfolio management, and change methodologies, including project, program or portfolio processes, tools and templates, project funding practices, communication tools and industry approaches. | • | Excellent skills in drafting presentations, dashboards, reports, communications, and other deliverables.
