POSITION AND PURPOSE


 

The Business Account Documentation Specialist processes all submitted documents during the account opening process to ensure authenticity and completeness while ensuring a positive and seamless experience for business members throughout the account opening process. Further responsibilities include reviewing documents requiring additional audit, potential communication with prospective members, and verifying that funding of membership is complete, and membership is established in core system. The Business Account Documentation Specialist's multifaceted role encompasses both member-focused interactions and back-office tasks.

WHO YOU ARE


 

You lead the business account documentation experience by managing the end to end review and verification of account opening documents, ensuring accuracy, authenticity, and completeness while delivering seamless and positive onboarding experience for business members.

 

You are a detail driven documentation and compliance specialist who applies strong analytical skills, regulatory awareness, and sound judgment to review standard and escalated documentation, validate funding requirements, and ensure memberships are accurately established within the core system.

 

You partner cross functionally with frontline teams, audit, and operations to resolve documentation exceptions, communicate effectively with prospective members when needed, and translate process insights into consistent, high quality outcomes that support operational integrity, risk mitigation, and member confidence.

 


THE WORK


 

Responsible for the fulfillment operations for new accounts originating in the digital channel.

 

Engages in interactions that ensure Golden 1 members encounter a positive experience beginning from new account origination through finalization and funding.

 

Review and have extensive knowledge of verifying the business's organizational documents, including articles of incorporation, partnership agreements, or other relevant documents based on the business structure.

 

Resolve business member issues relating to online banking, business deposit products, business lending products and money movement services products.

 

Maintain and effectively leverage a thorough knowledge of Golden 1 Credit Union business deposit and loan policy and procedures.

 

Identify problems that create inefficiencies and recommend operational improvements within all areas of online account opening processes.

 

Audit and verify Membership applications

 

Ensures confidentiality of all members and credit union information.

 

Maintains current knowledge of all Golden 1 products and services, as well as of policies and procedures.

 

Engage in conversations centered around business member’s needs, specifically focusing on credit, deposit, and servings process needs of the member assist in growing their business.

 

Guarantee the compliance of the Customer Identification Program (CIP) audit process.

 

Review, analyze and report member onboarding processes or challenges that require research, evaluation, and selection of alternatives.

 

Responsible for maintenance of the Business Change Forms, including new signers or account maintenance.

 

Accountable and audit forms received through Esign

 

Examining any inquiries related to the California Consumer Privacy Act (CCPA).

 

Assisting with UCC filings

 

Process all complex requests submitted through Business Member Support Account Servicing queues

 

Meet production deadlines daily while cognizant with quality and quantity in a fast-paced environment.

 

Maintain effective communication with all Credit Union employees to ensure coordination and exchange of information for accomplishing Credit Union goals.

 

Participates and contributes to a positive teamwork environment, which encourages team commitment to corporate, division, and departmental goals.

 

Perform additional duties as assigned.

 

QUALIFICATIONS


 


EDUCATION:

Bachelor’s Degree in business or a related field preferred

Directly related experience may be considered in lieu of education.


EXPERIENCE:

3+ years of experience in business document review, including areas such as Business Account and Loan Products required


KNOWLEDGE/SKILLS:

Proficiency in Business Entity structure.

Advanced problem-solving skills and timely responses.

Excellent organizational, time management and communication (verbal and written) skills. Ability to work independently and as a team member, while using discretion in decision making and sound judgment in problem solving

Advance in using systems, databases, and other relevant technologies.

Independent self-motivated worker who takes initiative without need of supervision.

Highly flexible and adaptable to sudden changes in the work environment.

Analyze situations and make critical informed decisions that support our strategic objectives.

Must demonstrate functional knowledge of all compliance courses on an annual basis and must review and pass all regulatory tests and courses pertaining to their job functions including internal credit union policies.

Proficiency in Commercial Real Estate, Commercial and Industrial, Business Loan Servicing/Processing/Documentation, and Business account servicing.

ORGANIZATIONAL CONTACTS AND RELATIONSHIPS


 

INTERNAL:

Regularly engage in verbal and written communication with various departments, including ACH departments, Wire Department, BMS department, Business Relationship Officer, Commercial Loan Reps, IT Help Desk, Deposit Account Servicing, Financial Advisors, Member Development Officers, Call Center (MSCC), Fraud Management, Learning and Development, and Digital Team. Internal discussions primarily revolve around research topics.

EXTERNAL:

Interact vendors and contractors


WORKING CONDITIONS


 

Work time includes weekend and after-hours time, based on organizational needs. This position works in-office where working conditions, lighting, temperature, audio, and workspace are all sufficient.


PHYSICAL REQUIREMENTS


 

Work requires the ability to constantly operate a computer and the ability to read, type, and communicate. Work may require the ability to move work-related supplies weighing up to 10-15 pounds.
